How to Use the Inbox Content Export Feature (Step-by-Step Manual)

📤 Why Exporting Your Inbox Content Matters

Using the Inbox Content Export feature, you can:

  • Track performance – See how your team handles messages over time.

  • Improve customer service – Review response times and spot frequent issues.

  • Find common keywords – Optimize auto-moderation and better understand what users care about.

  • Analyze tone and sentiment – Fine-tune your messaging.

  • Create detailed reports – Especially useful for agencies working with multiple clients.


✅ How to Activate the Inbox Export Add-on

Available on Pro, Expert, and Enterprise plans.

Step 1: Click your profile icon (top-right corner)

Step 2: Go to Account → Billing

Step 3: Scroll to Add-ons and turn on Inbox Content Export



📊 How to Generate a Report

Step 1: Go to Reports

  • Choose Inbox Activity Reports

Step 2: Click “Create new report”

Step 3: Select the time range for the data

  • Choose from predefined options or select a custom date range

The earliest date available is the date of the first message or reply after the profile was connected to NapoleonCat.

Step 4: Choose the report language and working hours

  • Available languages: English and Polish

  • Working hours help identify messages sent outside your team's active time

Step 5: Select the profiles to include

  • Choose one or more pages across various platforms

Step 6: Check “Export inbox posts”

  • This ensures you get the report from the add-on

Step 7: Download the report from the Reports Archive once it's ready (may take a few minutes)

  • You can also duplicate and remove a report via buttons visible on the right


📁 What’s in the Exported File

You'll get an Excel file with a sheet called “Inbox messages”, listing all interactions in a clear, structured format. Each row includes:

  • No. – Row number

  • Inbox Page Name – The social media profile name

  • Message Content – The user’s original message or comment

  • Message type - Specifies the type of interaction, e.g. comment, private

  • message Inbox_inbox_link - A direct link to the Inbox ticket in NapoleonCat

  • URL – Link to the original message or comment

  • Author – Name of the author

  • Author ID – Internal ID of the user

  • Date – When the message was posted

  • Sentiment – Labeled as positive, neutral, or negative, set by a moderator

  • AI Sentiment – Labeled as positive, neutral, or negative, set automatically by the AI Assistant

  • Message Tags – Custom labels added in NapoleonCat (like “FAQ” or “complaint”)

  • Reply – Your team's response (if any)

  • Reply Author – The team member who replied

  • Reply Date – When the reply was sent
